Additional Clinical & Administrative Services and Fees
Most services provided by HEAL Center for Counseling and Complementary Health, LLC (HEAL CCC) are included in your scheduled psychotherapy appointment. However, certain clinical, administrative, legal, or documentation requests require significant professional time outside of regularly scheduled sessions and may result in additional fees.
Whenever possible, applicable fees will be discussed with you and agreed upon before services are provided.
Routine Care Coordination
HEAL CCC believes collaboration with other healthcare professionals is often an important part of providing quality care.
When clinically appropriate, the following services are generally provided at no additional cost:
- Brief communication with medical providers or other healthcare professionals involved in your treatment.
- Brief communication with legal professionals when related to coordination of care and clinically appropriate.
- Routine treatment documentation necessary to support ongoing care.
Additional Clinical & Administrative Services
Services requiring substantial professional time outside of scheduled psychotherapy sessions may be billed at $150 per hour, prorated based on the actual time spent.
Examples may include, but are not limited to:
- Extended reports, summaries, or documentation beyond routine clinical records.
- Client-requested meetings outside of regularly scheduled treatment or routine care coordination.
- Records requests requiring significant review, preparation, or organization.
- Other agreed-upon professional services requested outside of scheduled appointments.
Court Involvement & Legal Proceedings
Psychotherapy services are intended to provide treatment—not forensic evaluation or legal services. Court-related services are outside the scope of routine outpatient psychotherapy.
If you become involved in legal proceedings or anticipate that your therapist may be asked to participate, please notify HEAL CCC as early as possible so scheduling, clinical considerations, and professional responsibilities can be addressed.
Court-Related Fees
- Court appearance (half day): $250
- Court appearance (full day): $500
- Court preparation: $125 per hour
Includes record review, preparation of reports or letters, attorney consultation, and other professional services related to legal proceedings. - Late cancellation of court appearance: $250 if a scheduled court appearance is canceled, postponed, or resolved with less than 24 hours’ notice.
Because court appearances require reserving time that cannot be used for regularly scheduled client appointments, HEAL CCC may require advance payment or a retainer prior to providing court-related services. Any payment requirements will be discussed in advance.
Court-related services are generally not covered by health insurance and remain the client’s financial responsibility.
HEAL CCC’s court-related fees are intended to compensate for professional time, preparation, and availability required for legal proceedings. Fees are not related to the content, opinions, or outcome of any testimony, documentation, or professional communication provided.
Court-Ordered or Mandated Treatment
HEAL CCC may provide court-ordered or mandated outpatient psychotherapy services, such as anger management or other treatment requirements, when clinically appropriate and within the provider’s scope of practice.
Because mandated treatment may require additional administrative responsibilities—including attendance verification, progress reports, treatment summaries, and coordination with third parties—fees may differ from standard psychotherapy rates.
Fees for mandated treatment services will be discussed and agreed upon in writing before services begin.
Court-ordered and mandated treatment services may not be covered by health insurance and remain the client’s financial responsibility when not covered.
Documentation Requests
Clients may request documentation for purposes such as Emotional Support Animals (ESA), Family and Medical Leave Act (FMLA), workplace accommodations, school accommodations, or other third-party requests.
When clinically appropriate, HEAL CCC may provide documentation supported by your clinical presentation, treatment history, and professional standards.
Documentation is generally available only for established clients after sufficient clinical information has been obtained—typically after approximately 4–8 sessions, although individual circumstances may vary.
Routine treatment documentation or brief care coordination letters may be provided without additional charge when clinically appropriate.
Requests requiring significant review, extended documentation, consultation with third parties, or substantial professional time outside of scheduled sessions may be billed at $125 per hour. Whenever possible, fees will be discussed in advance.
Please note that third-party organizations often establish their own eligibility requirements. HEAL CCC cannot guarantee that requested documentation will meet the requirements of an outside organization. Thus, completion of forms does not guarantee approval by the requesting agency or organization.
All letters, reports, and documentation are prepared using independent clinical judgment and must accurately reflect the clinical record. HEAL CCC does not provide documentation that is unsupported by clinical findings, inconsistent with professional ethics, or outside the provider’s scope of practice.
